What is your peak season?

Our venue is a true indoor/outdoor space, and thus does not come equipped with heating or cooling. This leaves temperate months like May, June, September, October and November as the most highly desired, although we host successful events at the venue year-round.

What is the general booking availability and cost?

As the proud home of the Lane County Farmers Market, our rental availability revolves around the seasonal market schedule, and thus, the building is available for rent Mondays, Wednesdays-Fridays, and Sundays from 12pm to approximately 10pm. Rental costs are dependent on the day of the week. Weekdays like Mon, Wed and Thursday rent for an 8-hour time frame in the $2250 range, and Fridays or Sundays rent for an 8-hour time frame in the $5000 range. More specific quotes are available upon request.

Do you have accessible facilities?

Accepted Answer

Yes, all our facilities are wheelchair accessible. We have a curbless layout, wide-set doors, hearing-impaired fire alarm lights and an assisted listening system available upon request. Our staff is also trained to assist with accessibility needs.

Is there an area to change?

Accepted Answer

The Pavilion is a single great room with high ceilings and brushed concrete floors. There are no additional side rooms that are usable as private changing or dressing rooms. Event producers often create auxiliary areas or temporary green rooms by setting up pop-up tents inside or outside the building.

Are the grounds illuminated?

Yes, there are streetlamps that light the surrounding area, including the plaza, as well as hanging outdoor string lights above the plaza concourse. The outside space remains well-lit even on the darkest nights.

Can I turn off all the lights inside the Pavilion?

Accepted Answer

The interior of the Pavilion is well-lit, and the lights can be turned off with the exception of a single row of emergency safety lights that must remain on at all times. When all other lights are off, the building is very dim.

Am I responsible for clean up?

Accepted Answer

Yes. Rental parties are responsible for cleaning up after the event. A cleanup checklist will be provided. There is a dedicated trash and recycling room, accessible from the exterior west side of the building. Renters are responsible for placing any garbage and recycling in this room as part of the post-event cleanup process. There are receptacles that can be available for event use.

How many tables and chairs are provided?

Bistro tables and chairs are available to seat 75, plus banquet tables with chairs to seat 70. The full equipment inventory can be provided upon request. Staffing for equipment setup is not included at this time, nor are table linens. For additional equipment needs, we are happy to recommend a rental company.

How do the roll-up doors operate?

The roll-up doors are not automated and must be operated manually. The site staff can assist with the operation of the doors.

Can we bring our own alcohol?

Accepted Answer

Yes, an Alcohol Agreement will be a part of your paperwork, and OLCC guidelines must be adhered to. We can provide a City of Eugene OLCC liaison if you need guidance in this process.

How do we load in/load out?

Accepted Answer

During set up and take down, you may drive onto the Plaza concourse adjacent to the east wall of rollup garage doors to load and unload equipment, or utilize North Park St. and West Park St.

Do you have on-site parking?

Accepted Answer

Yes! Options include street parking, parking garages and the North Butterfly lot. The gated North Butterfly Lot adjacent to the Pavilion is available for private parking at the additional fee of $200 per day. Keep in mind that no vehicles will be permitted to be left at the building or in the lot overnight. Metered street parking and parking garages are nearby and accessible and provide free parking after 6pm and on weekends: The Parcade (35 W. 8th Ave.) and The Overpark (1000 E. 10th Ave.). ADA parking stalls are located in front of the Lane County building across Oak St. on 8th Ave. and on the east side of Oak at 8th.

Can I drive into the Pavilion?

No. The interior surface of the Pavilion is not designed to withstand the weight of a standard vehicle, and the absence of an exhaust system prevents the space from ventilating carbon monoxide emissions, even for short periods of time.

What are the electrical capabilities of the space?

Accepted Answer

There are ample electrical floor boxes dispersed throughout the interior of the Pavilion. For the outdoor plaza, there are dispersed in-ground outlets. You can view the location of the boxes on the site map and connect with a staff member to explore specific possibilities, such as food truck placement.

Yes. Water access can be found at the northeast and southeast corners of the Pavilion building.

What are the details on the food prep area?

Accepted Answer

The food prep area has a basic setup that includes a sink, refrigerator and counter space to support sanitary food sample service and event concessions. It is not a licensed kitchen, nor does it have cooking capabilities or serving equipment/utensils. The room has a retractable awning to provide a serving area inside the Pavilion. Many caterers are happy to utilize this space. The Pavilion team is happy to recommend caterers upon request..

No, the lack of HVAC in the building prevents the space from being able to accommodate a fog machine.

What does it mean to have a lack of HVAC?

Accepted Answer

The building is a true indoor/outdoor space. There is no heating or cooling inside the Pavilion and the temperature of the space reflects the weather. This means that it can be hot in the summer and cold in the winter. Temperatures can be affected to a limited degree by strategically opening and closing the rollup doors. The Pavilion team can assist with this during events.

Is insurance required?

Event insurance is required for all rentals. This should include coverage of at least $2,000,000 per occurrence and $3,000,000 aggregate. Renters must provide a certificate of insurance that meets these requirements, along with a separate endorsement form that names the City of Eugene as additionally insured. The policy must be a primary policy, not a policy that contributes to any coverage the City may carry. The Farmers Market Pavilion & Plaza operates year-round. Months that can be challenging to activate are those with potentially extreme climates: December, January and February in the winter, and July and August in the summer.

Your reservation includes eight hours from start to finish, including the time it takes you to set up and clean up. Any additional time will be billed at $100 per hour.
