How do I reserve a date? What is the payment schedule?

Accepted Answer

A 50% retainer is required to reserve your date along with a separate $500.00 damage deposit check postdated to the Event Date. Final payment is due 60 days prior to the event date, along with a separate check for the Security Officer. The Oaks Wedding Venue Policy is that no date can be held unless a deposit and contract has been made for that particular date. The Oaks does not accept a verbal commitment as form to secure a date. It is first come first serve to whomever does deposit first. This policy is not in place to pressure anyone into booking, it is just to let them know that it could be off the market that very same day.

How many people can The Oaks accommodate?

From an intimate event of 50 people to a grand soiree of 375 guests, the unique spaces of Grand Oak Hall and its grounds are quite versatile.

What is your alcohol policy?

Accepted Answer

Celebrations that include alcoholic beverages (only permitted if served by a licensed bartender/caterer) are allowed on the property. Bartenders must be from the Preferred Vendors List; all Bartenders have the required License and Insurance that is needed. Four-hour maximum allowed to serve alcohol with Last call for beverage service at 11pm. If any alcohol is brought on The Oaks property by client, guest, or anyone other than the Bartender; this will result in automatic loss of your $500.00 damage deposit.

What time does everyone have to leave The Oaks?

Accepted Answer

Usage of the property concludes at Midnight. We recommend ending your event by 10:30 to allow ample time for break down. Alcohol must be cut off by 11:00 pm. Vendors must be finished with break down and off property by midnight or you will be charged a flat rate of $150 per hour.

Do you have an in-house caterer or a list of "preferred" caterers? Can I choose my own caterer instead?

Accepted Answer

The Oaks maintains a list of Preferred Professionals that are highly recommended. They are established professionals with excellent credentials, services and reputation. Each provide service in a broad range of budgets to accommodate your every need. If you prefer, you may choose you hire your own full service caterer and/or cake artist for your event. All food service providers must submit a current copy of their DHEC certificate and a signed copy of the Catering Agreement for approval no less than 60 days prior to event for verification.

Can I hire my own vendors (florist, musician, coordinator, photographer, videographer, DJ, etc.) or do I have to select from a vendor list?

Accepted Answer

Full-Service Catering and Bartenders for your event must be chosen from the Preferred Vendors List. Your Day of Coordinator/ Wedding Planner also has to come from the Preferred Vendors List. For all other Vendors, you may certainly choose professionals that suit you best; The Oaks must approve all vendors at least 60 days prior to event. The preferred vendors have partnered with The Oaks to provide specialized pricing...exclusively offered to our guests planning their event at The Oaks.

How many hours are included in our booking?

Your reservation includes 12 hours from start to finish, including the time it takes to set up and clean up.

Do we need to get insurance?

Accepted Answer

Yes, a separate “Special Event” Insurance Policy (insurance carrier of your choice) must be purchased for your event with a minimum of $1 million dollar coverage. Must name both Beard Investments LLC and The Oaks on the policy.

What’s your cancellation policy?

Accepted Answer

If Client provides The Oaks with a written Notice of Client’s intent to cancel this Agreement within 30 days of executing this Agreement, The Oaks will refund fifty (50%) of the Initial Deposit; provided, however, no refund of the Initial Deposit or any portion of the Rental Amount will be granted after 30 days since executing this Agreement. If Client cancels this Agreement, the remaining balance of the Damage Deposit, after applicable charges described herein, will be refunded to Client.

Yes, all our facilities are wheelchair accessible.

No, you must hire a bartending service off of The Oaks Preferred Vendors List.

Yes, we have free self- parking. All vehicles must be removed at the end of each event. No overnight parking.
